Batch upload company portfolio

Last updated View as Markdown

Purpose: Easily populate a portfolio with relevant companies by importing a list, so you can monitor numerous companies efficiently without adding each one manually.

Step 1: Create or open a portfolio

  1. Log into Business Radar and go to the Portfolios tab.

  2. Open an existing portfolio, or click Create New Portfolio and give it a descriptive name.

Step 2: Prepare your file using the template

  1. In your portfolio, open the Import Companies tab.

  2. Click Download template. The Excel template contains the required columns, a country dropdown, and instructions per column.

  3. Fill in one row per company:

Column

What to enter

internal_reference

Your own reference for the company. Optional — it appears in the Customer Reference column in your portfolio, so you can match companies back to your own system.

name

The company's name, spelled as it appears in official records.

country

The country in ISO format (e.g., DE, NL, GB, FR). Use the dropdown in the template.

duns_number

The company's DUNS number, without dashes. Optional, but gives the most reliable match.

registration_number

The company's official registration number. Optional.

street_address, postal_code, address_locality, address_region

Address details, which help distinguish companies with similar names. Optional.

  1. Save the file. Both .xlsx and .csv are accepted.

Step 3: Upload your file

  1. In the Import Companies tab, click the upload area or drag your file into it.

  2. Business Radar processes the file and matches each row against its company data. The import appears under Previous Imports at the bottom of the tab, with a progress percentage while it runs.

Step 4: Review the results

  1. A small import completes in a few minutes; you'll also receive a notification in Business Radar when it's done.

  2. Click View next to the import to see the result for each row:

    • Registration — how the row was matched, by company name or DUNS number.

    • Company — the company that was matched, linked to its company page.

    • Status — REGISTERED when a company was matched and added, COMPANY_NOT_FOUND when no match was found.

  3. Check the matched company names against your original list. A company can be registered against a close-but-incorrect match, especially when only a name and country were provided, so it's worth confirming the results are the companies you intended.

Companies added this way are not monitored automatically. See Setting up your first portfolio for how to turn on monitoring.

Tips for a successful upload

  1. Country codes

    • The country must be in ISO format (e.g., DE, NL, GB, FR). Use the dropdown in the template to avoid mistakes.

    • If no DUNS number is provided, the country field is used to narrow the search — without a correct ISO code the company cannot be matched.

    • Common mistake: listing the UK as "UK" instead of GB. Rows with an invalid country code are skipped entirely and won't appear in the import results, so check that the number of rows in your results matches the number of rows in your file.

  2. DUNS numbers

    • If you include DUNS numbers, remove any dashes or extra characters (e.g., "12-345-6789" becomes "123456789").

    • A DUNS or registration number is the most reliable way to get the right company.

  3. Matching without a DUNS number

    • Without a DUNS number, matching relies on the country and company name.

    • Spell the company name exactly as it appears in official records:

      • Correct: THE GO-AHEAD GROUP LIMITED

      • Incorrect: THE GOAHED GROUP LIMITED

    • Inaccuracies in the name can result in unmatched companies, or in a match to a different company with a similar name.

  4. Handling unmatched companies

    • Rows that couldn't be matched appear in the results marked COMPANY_NOT_FOUND, with no company linked. The results list isn't filterable, so page through it to find them.

    • Correct the name, or add a DUNS or registration number, and import those rows again.

    • If the company isn't in Business Radar at all, you can request it — see Can't find a company?.
